Privacy statement

Who is responsible for your data

This privacy statement explains how ALK Positive Belgium handles your personal data, in line with the General Data Protection Regulation (GDPR) and the Belgian law of 30 July 2018 on the protection of personal data.

The data controller is:

The association is run entirely by volunteers. For any question about this statement or about your data, email us at info@alkpositivebelgium.be.

What data we process

When you use our contact form, we process:

  • the details you enter: your name, your email address and your message;
  • the language of the page, and the address (URL) of the page you sent the form from;
  • the date and time of your submission;
  • a record of your consent: the wording of the checkbox you ticked;
  • technical details: the country your connection comes from (as determined by Cloudflare) and your browser's user-agent string (the type and version of your browser and operating system);
  • the result of the Cloudflare Turnstile anti-bot check: whether it passed, when, and on which website.

To run that check, Cloudflare processes your IP address and technical signals from your browser, and verifies the one-time Turnstile token your browser generates. We do not store your IP address or the token.

This website uses no analytics or advertising cookies and does not track your browsing. You can read more in our cookie policy.

You do not have to give us your details. Without your name, email address and message, however, we cannot reply to you.

Health information

We do not ask for health information, and you do not need to share any: we give no medical advice, so questions about your diagnosis or treatment belong with your doctor.

Messages to a patient association often touch on health all the same. Information about someone's health is special-category data under Article 9 of the GDPR. If you include it, we process it solely on the basis of the explicit consent you give by ticking the box on the form (Article 9(2)(a) GDPR), and:

  • only to respond to your enquiry;
  • only the authorised volunteers who handle our mailbox can access it;
  • never for marketing or commercial purposes — we never sell it or share it for such purposes.

If you share information about someone else's health — a partner or relative, for example — please only do so with their agreement.

You can withdraw your consent at any time by emailing info@alkpositivebelgium.be. This does not affect the lawfulness of processing carried out before you withdrew it.

Why we process your data, and on what basis

  • Answering your message: your consent (Article 6(1)(a) GDPR), which you give by ticking the box before sending the form.
  • Health information you choose to share: your explicit consent (Article 9(2)(a) GDPR), given through the same checkbox.
  • Keeping the form secure and free of spam — the anti-bot check and the technical details listed above: our legitimate interest in protecting the association and its volunteers from abuse (Article 6(1)(f) GDPR).

We use your data for no other purpose. We do not make automated decisions about you or build profiles; the only automated step is the anti-bot check, which only decides whether a submission comes from a person rather than a bot.

Who receives your data

Your message is read only by the authorised volunteers who manage our mailbox. We use the following processors and service providers:

  • Cloudflare — hosts the website, delivers it through its content delivery network (CDN) and runs the Turnstile anti-bot check. Cloudflare acts as our processor.
  • Make.com — passes your form submission on to our mailbox. Make.com acts as our processor.
  • Microsoft 365 (Microsoft Ireland Operations Limited and Microsoft Corporation) — hosts our email, including the info@alkpositivebelgium.be mailbox: the form submissions Make.com delivers there, messages you send us directly by email, and our replies. Microsoft acts as our processor.
  • Vimeo — plays the video on our homepage. The video only loads if you press play. From that moment Vimeo may set cookies or similar trackers, which it processes under its own privacy policy. We load the player with Vimeo's "Do Not Track" setting (dnt=1) to limit this tracking.

We never sell your data and do not share it for commercial purposes.

Transfers outside the European Economic Area

Cloudflare, Make.com, Microsoft and Vimeo may process data on servers outside the European Economic Area (EEA), in particular in the United States.

These transfers are protected by recognised transfer mechanisms under Chapter V of the GDPR, such as the EU–U.S. Data Privacy Framework and the European Commission's Standard Contractual Clauses (SCCs).

Microsoft 365 is provided to us by Microsoft Ireland Operations Limited, a company based in Ireland. Where data is transferred to its parent company, Microsoft Corporation, in the United States, that transfer is covered by both the European Commission's Standard Contractual Clauses and the EU–U.S. Data Privacy Framework.

How long we keep your data

We keep contact-form submissions, the correspondence that follows and the related enquiry logs for 2 years from the date we receive them, so that we can handle any follow-up. After that, they are securely deleted or anonymised.

Your rights

Under the GDPR you have the following rights:

  • Right of access (Art. 15): to know whether we process your data, and to receive a copy.
  • Right to rectification (Art. 16): to have inaccurate or incomplete data corrected.
  • Right to erasure, or "right to be forgotten" (Art. 17): to have your data deleted.
  • Right to restriction of processing (Art. 18): to have us limit how we use your data, for example while we look into a request.
  • Right to data portability (Art. 20): to receive the data you gave us in a structured, commonly used and machine-readable format, or to have it passed to another organisation.
  • Right to object (Art. 21): to object to processing based on our legitimate interest, such as the anti-bot check.
  • Right to withdraw your consent at any time, without affecting the lawfulness of processing carried out before you withdrew it.
  • Right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données — GBA/APD), Drukpersstraat 35 / Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be.

To exercise your rights, email us at info@alkpositivebelgium.be. We reply within one month. We may first ask you to confirm your identity, so that your data never reaches anyone else.

Links to other websites

Our site links to external organisations and to our private Facebook group. Once you visit those sites, their own privacy policies apply. Facebook processes data under its own terms.
